Reconciliation begins with the approved packet
A closing reconciliation asks whether the returned files correspond to the exact packet counsel approved for signature. It does not determine whether a document was validly executed, notarized, delivered, or effective. Counsel supplies the transaction identifier, approved document list, version identifiers, expected signers, and review owner. The support worker preserves those boundaries, compares observable fields, and reports exceptions. This makes a complicated return set navigable without shifting authority over the closing, title, entity powers, or legal sufficiency away from the firm.
Create a manifest before comparing pages
The baseline manifest should list each document, stable identifier, approved filename, hash where available, page count, expected signature pages, exhibit list, and counsel instruction. Keep clean copies and signature copies distinct. If counsel replaces one document, issue a new manifest version and link the superseded item. A worker should not infer that a later timestamp means approval. The manifest records what counsel authorized, making it possible to distinguish an outdated return from an unexpected addition or a scanning problem.
Track packet and envelope identities
Electronic-signature envelopes, wet-signature packets, courier bundles, and scanned returns may overlap. Record the envelope or packet identifier, sender, received time, channel, included filenames, page counts, and related manifest version. Do not merge two partial returns into one file before preserving their origins. If the platform produces a certificate, retain it as a separate linked artifact. These relationships let counsel reconstruct how a page arrived and prevent a polished combined PDF from hiding missing or substituted material.
Handle an earlier-version signature page
Suppose the returned set contains a signature page from an earlier deed version. The worker links that page to the returned packet and both deed identifiers, notes the visible footer or version marker, and holds assembly. The worker does not transplant the signature, discard the page, or state that it can or cannot be used. Closing counsel decides whether a corrected execution is required and records the instruction. The exception preserves the exact mismatch instead of turning document production into a legal conclusion.
Compare visible execution fields neutrally
For each expected signature location, record present, blank, unreadable, or not in returned set. Capture the signer name, capacity, date, witness field, notary field, seal, and initials only as displayed. Avoid valid, authorized, or complete. Names and titles may differ from the approved packet; keep both values visible. A second reviewer can reproduce the observation from the page reference. Counsel assesses authority, formalities, acknowledgements, and consequences after seeing the source-linked difference.
Reconcile exhibits and schedules separately
An executed main document can arrive without an exhibit, or an exhibit can belong to another version. List every attachment by identifier, label, page range, and parent document. Compare that inventory to the approved manifest. Do not treat an exhibit mentioned in the text as received. If pages are duplicated or out of order, preserve the return set and create a working copy only under an approved process. This approach distinguishes scanning repair from a substantive packet gap.
Protect funds and release decisions
Signature reconciliation must not become authority to release funds, record instruments, circulate executed copies, or declare closing. Build explicit gates: packet received, administrative comparison complete, exceptions reviewed, counsel-approved final set, and separate closing release. The support worker can prepare evidence for each gate but cannot advance a legally consequential step without attributable instruction. If bank details, payment directions, or last-minute recipient changes appear, isolate them and follow the firm's fraud-control route.
Use narrow access and secure transfers
Closing packets can contain identity documents, financial details, signatures, and confidential transaction terms. Restrict access by transaction and role. Use named accounts and approved exchange methods; never move a packet to personal storage because a file is large. Record unexpected access or misdirected files without exploring them. Test the process with imperfect returns
A pilot should include a clean packet, an omitted exhibit, an outdated signature page, a duplicate scan, an unreadable notarization page, and a mixed-transaction file. Review whether the worker preserves originals, uses stable identifiers, finds the right mismatch, and stops the affected step. Measure manifest matches, page exceptions, version conflicts, reviewer corrections, and reopened packets. Expand only when the record remains reconstructable and counsel consistently receives questions that can be answered without repeating the entire comparison.
Close with an exception schedule
Before the packet leaves reconciliation, produce an exception schedule keyed to the manifest. For every open item, name the document, page, observed issue, source, owner, held action, and required decision. For every resolved item, link counsel's disposition and any replacement file without deleting the original. Confirm that working copies are clearly marked and temporary downloads follow the firm's retention instruction. This final schedule helps the closing lawyer distinguish clerical cleanup from execution questions and prevents a verbal instruction from becoming the only evidence of why a packet changed.
