Keep offers, instructions, approvals, and communication history together while negotiation and authority remain with counsel and the client.
Separate each communication
Record the date, sender, recipient, matter, channel, document version, and source for offers, counters, approvals, and internal instructions. Do not merge a phone note with a written authorization.
Protect the decision boundary
Support staff may organize approved facts and prepare a chronology. They should not recommend a settlement, characterize authority, promise acceptance, or communicate a changed position without explicit instruction.
Preserve the approval trail
Link the final instruction to the version it approves and note who authorized release. Counsel controls negotiation, client communication, execution, and any court or insurer submission.
