Define each request

Record the approved request wording, recipient, matter, date sent, period covered, owner, delivery method, and source location. Split separate requests rather than hiding them in one status note.

Track evidence states

Use distinct states for drafted, sent, acknowledged, partial, received, unreadable, and review needed. A received file is not automatically complete or usable.

Route gaps to the owner

Attach missing pages, unclear coverage, failed delivery, and unexpected formats to the responsible reviewer. Counsel or the matter owner decides whether to repeat, narrow, escalate, or close the request.
