Catch ambiguous filenames and unsafe renames while preserving source files and leaving substantive classification with the firm.
Check the approved naming rule
Compare the filename with the firm’s stated fields, such as matter, document type, date, sender, and version. Record the current name and source location before proposing an administrative change.
Do not disguise uncertainty
A missing date, unclear matter, duplicate name, or conflicting version should remain an exception. Do not invent a date, infer a document type, or overwrite the original to make the folder look tidy.
Return safe options
Give the manager the affected file, the rule that could not be applied, and any source that may resolve it. The firm approves renames, moves, merges, and deletion.
