Write a specific request record

Capture the approved wording, recipient, matter, date sent, requested period, owner, and delivery channel. A general note such as “documents pending” does not tell the firm what remains outstanding.

Separate received from usable

Log each file, source, date received, and apparent coverage of the request. Missing pages, unreadable files, and unexpected formats should be flagged without deciding whether the response is adequate.

Use reminders carefully

Send only firm-approved follow-up language and record the result. Counsel or the matter owner decides whether to narrow, repeat, escalate, or close the request.
