Use firm-defined signals

List the signals the firm has approved, such as a stated hearing date, service notice, threatened harm, active deadline concern, or request from an existing client. Capture the source and exact wording.

Do not rank by instinct

A support worker can mark a signal and route it quickly, but should not decide legal urgency, likelihood of success, or priority between matters unless the firm supplied that rule.

Make the route obvious
