Compare supplied names and contact details to approved intake records without making a conflict, acceptance, or identity decision.
Define the comparison fields
Use the firm-approved fields for name, organization, contact details, matter type, source, and received date. Record the exact spelling and source for each candidate record.
Treat similarity as a question
Similar names, changed addresses, shared phone numbers, and incomplete forms may warrant review, but they do not prove that two records refer to the same person or matter.
Protect intake ownership
Return possible duplicates with the records compared and the reason for the flag. The firm decides identity, conflicts, acceptance, and any client communication.
