Preserve the message trail
Record the matter, sender, received time, subject, attachments, portal location, and assigned owner. Keep the original message accessible and note whether a file was opened only when the firm’s process requires it.
Separate receipt from response
An acknowledgment that a message was received is different from an answer to its legal or case question. Mark requests needing attorney review and do not paraphrase them into a commitment.
Track the approved next step
After the firm gives an instruction, record the approved response, owner, and sent time. Escalate changed facts, angry messages, threats, and requests for advice instead of improvising.
