Prepare a factual closeout checklist for files, tasks, communications, and access while the firm decides whether a matter may close.
Gather the closeout sources
List the approved closure instruction, open tasks, final documents, client communications, billing status supplied by the firm, retention location, and access list. Record what was checked and when.
Keep incomplete work visible
Unsent drafts, unresolved questions, missing signatures, unfiled records, and unclear retention instructions should remain open exceptions. Do not infer that silence or an empty queue means the matter is complete.
Let the firm authorize closure
The responsible attorney or manager approves client communication, final filing, retention, billing, and access removal. Support staff record that instruction and preserve the resulting closeout evidence.
